Debt Collection Software

Newfies-Dialer debt collection software automates the first, most repetitive part of debt recovery: reminding debtors that a payment is due and putting the ones ready to pay straight through to your collections team. Instead of agents dialing numbers one by one, the dialer calls every debtor on your list, plays a personalised message and only passes the call to a person when the debtor responds.

How automated debt collection works

  1. Build the call flow. Create a survey (IVR) that reminds the debtor of the balance and invites them to press 1 to speak to an agent, or to press another key to hear payment options.
  2. Upload your debtors. Import a contact list with each debtor’s phone number and custom fields such as name, amount due and due date.
  3. Personalise the message. Tag replacement with text-to-speech reads each debtor’s own details, for example “the amount of 120 dollars due on the 5th of June”.
  4. Add alternative numbers. Store a work or mobile number against each debtor. If the first number is not answered, Newfies-Dialer tries the next one.
  5. Keep calling until contact is made. Set the campaign to retry debtors who do not answer or who hang up without responding, until they have spoken to an agent.

Answering machine detection makes sure agents only receive live calls, while a separate message can be left on voicemail right after the beep.

Use cases

  • Utilities and telecoms: remind residential customers of overdue invoices before they build up.
  • Collection agencies: work large portfolios of small balances at a fraction of the cost of manual dialing.
  • Subscription and membership businesses: recover failed payments and renewals.
  • Local government and schools: reminders for fees, fines and rent arrears.

In one project described on our blog, a telecoms provider with 15,000 mainly residential customers used Newfies-Dialer to remind debtors automatically: a month of work for two collections staff was done in two days, and the extra revenue paid for the project more than twice over in the first month. Compliance

Debt collection calls are regulated in most countries. In the USA, for example, the Fair Debt Collection Practices Act and the CFPB’s Regulation F set rules on when and how often debtors can be contacted and what must be said, and the TCPA generally requires consent before automated or prerecorded calls are made to mobile phones. In the UK, the FCA’s rules for consumer credit and Ofcom’s persistent misuse policy apply.

Newfies-Dialer gives you the controls to apply these rules: calling windows by time zone, limits on retries, alternative numbers only where you hold them, DNC lists and a clear transfer to a person. The rules themselves depend on your country and industry, so please check them with your legal advisor. This page is not legal advice.

Frequently asked questions

Can the message include the amount owed?

Yes. Any field uploaded with the contact, such as name, balance or reference number, can be read out with text-to-speech.

What happens if the debtor does not answer?

The system calls the next number you hold for that debtor, and retries later according to the retry settings of the campaign.

Do I need to change my call center phone system?

No. Transfers are sent to any phone number or SIP address, so your agents keep using the phones they have today.

Which carrier should I use?

You use your own VoIP carrier, so you pay carrier rates rather than a markup per call. We can recommend carriers and help you set them up.
